Service terms and conditions

These terms describe the general rules for using the automatic reply software, message-processing packages and setup services provided by Bui Quoc An.

These terms apply to the standard services shown on this website. Customized, integrated or enterprise projects may also use a separate quotation, scope of work, handover record or agreement confirmed by both parties.

Scope of service

Services may include conversation-management software, automatic replies, business-knowledge setup, reply configuration, conversation monitoring, deployment support and custom integrations.

  • Features and deliverables depend on the selected software plan, message package and confirmed scope.
  • Requests outside the standard package may require a separate review, quotation and schedule.
  • The service supports sales and customer care; it is not a payment, banking or financial-intermediary service.

Software and message fees

Monthly software fees and message-processing fees are separate. An active software plan is required to operate the system.

  • Software fees are paid in advance for each monthly cycle.
  • Message packages are prepaid and include the quantity shown in the pricing table.
  • Multiple message packages may be purchased and their balances are combined.
  • Unused messages carry over to the following month and are not automatically convertible to cash.
  • If the software plan expires, the balance is preserved but can only be used after the software is reactivated.

How messages are counted

One usage unit is generally counted when the system creates and sends an automatic reply. Actual recording may depend on the connected platform and will be explained during setup.

  • Messages sent directly by staff are not deducted from the automatic-reply package.
  • If one response is split into multiple bubbles by the platform, it is preferably counted as one unit when technically possible.
  • Images, videos or special tasks may use separate counting rules if disclosed in the quotation.
  • Customers may request available balance and usage data within the provided management tools.

Product trial

A trial helps customers understand how the system works before choosing a full deployment.

  • Trial duration, messages, product count and features are confirmed before the trial begins.
  • A trial does not automatically include live integrations, complete data or advanced customization.
  • Trial data may be deleted after completion if the project does not continue.
  • Trial results may differ after connecting real data and platforms.

Content supplied by customers

We configure the system using data supplied by the customer. The customer is responsible for ensuring that the data is accurate, lawful and properly licensed.

  • Prices, product and service information.
  • Images, videos and related materials.
  • Sales, returns, delivery and promotion policies.
  • Rights to use, publish and distribute the supplied content.
  • Data accuracy and updates when information changes.
  • Customers must promptly report expired prices, products or policies.

Limits of automatic replies

The system provides information and handles repetitive questions. Payments, order closing, refunds, complaints and final commercial commitments must be confirmed by a person.

  • It does not completely replace staff or the responsible business owner.
  • It does not independently confirm payments, issue refunds or change prices.
  • It does not create discounts beyond approved information.
  • It does not invent comparisons or claims about competitors.
  • Replies may be inaccurate when data is missing, outdated, incorrect or contradictory.
  • The system may stop and hand the conversation to staff in unusual situations.

Spam and unsuitable use

Automatic replies may stop when repeated, unclear, abusive or suspicious messages are detected. Control thresholds may be adjusted for each deployment.

  • Stop replies to spam or unsuitable content.
  • Hand conversations to staff and limit reply frequency.
  • Temporarily disconnect during abuse, attacks or excessive load.
  • Block dangerous, unlawful or platform-prohibited content.
  • Enable or disable individual control rules according to the agreed setup.

Data privacy

We do not sell data or share it outside the agreed scope. Access is limited to necessary operation and support activities.

  • The current system operates on physical servers located at premises managed by us.
  • People can monitor, stop the system, take over conversations and respond to unusual activity.
  • No system eliminates every risk; we commit to monitoring and responding promptly when incidents are found.
  • Customers must also protect their accounts, passwords and assigned access rights.

Maintenance and service interruptions

Some functions depend on third parties such as Zalo, WhatsApp or related providers. Continuous operation cannot be guaranteed when those providers change policies, limit access or experience outages.

  • The service may undergo scheduled maintenance, software updates or security-related interruption.
  • We will try to provide advance notice for planned maintenance when practical.
  • We are not absolutely responsible for internet, electricity, hardware, third-party or other events outside reasonable control.
  • Recovery time depends on the cause and cooperation of relevant parties.

Payment and renewal

Software plans and message packages are prepaid. Payments are not automatically charged unless a separate recurring-payment arrangement exists.

  • The software cycle starts on activation or on the date stated in the payment confirmation.
  • If renewal is not completed, the software may pause until payment is confirmed.
  • Message balances remain preserved while the software is paused.
  • Custom design, integration or development may require a deposit before work begins.
  • Fees outside the standard package must be disclosed and approved before work begins.

Cancellation and refunds

Refunds are considered based on the work already completed and the service period already started.

  • Software fees are non-refundable after the billing cycle begins.
  • Unused message balances are preserved and are not convertible to cash.
  • Completed design, integration or customization fees are non-refundable.
  • If we cannot deliver the agreed scope, both parties will discuss a refund for the uncompleted portion.
  • Cancellation requests must be submitted through an official contact channel.

Changes to these terms

These terms may be updated as products, pricing, platform rules or operating requirements change.

  • Active customers will be notified before material changes to prices, message counting or data rights take effect.
  • The latest version will be published on the website with an updated date.
  • Separately confirmed written agreements take priority for their specific agreed scope.
